By the end of this guide, you'll use ChatGPT to produce a complete fundraising campaign plan — strategy, timeline, communication sequence, board activation tasks, and a content calendar — in one structured conversation. A campaign plan that used to take a full day now takes 90 minutes of work.
What you'll need
Open ChatGPT and paste your campaign brief:
I'm planning a [campaign type: year-end / spring / Giving Tuesday / major donor cultivation] fundraising campaign for [Organization Name], a [mission description] nonprofit.
Campaign parameters:
- Dates: [start date] to [end date]
- Goal: $[amount]
- Last year's result: $[amount] from [number] donors
- Primary channels: [email / direct mail / social media / events]
- Matching gift available: [yes — $[amount] match / no]
- Target segments: [major donors / lapsed donors / all active donors / first-time prospects]
Please help me build a complete campaign plan. Start by suggesting a campaign theme and story arc, then we'll build the timeline and content together.
Review ChatGPT's theme suggestions. The best appeal themes:
Ask ChatGPT to refine: "Give me 3 theme options for this campaign. For each: the story hook, the key message, and the donor action (the specific thing their gift enables)."
Once you've chosen a theme, ask:
Build a communication timeline for this campaign from [start date] to [end date]. Include:
- Email touches (specific dates and message topics)
- Social media touchpoints (frequency and themes)
- Board activation emails (when to send, what to ask board to do)
- Direct mail pieces (if applicable)
- Final push communications (last 48 hours)
Format as a calendar with date, channel, and message description for each touchpoint.
With the timeline approved, start drafting:
"Draft the primary appeal email for this campaign. Use the [chosen theme]. Key message: [key message]. Ask: $[default ask]. Subject line options: give me 3. Length: 300-400 words."
Then continue:
If you have a matching gift:
"Write a complete matching gift announcement sequence: announcement email, mid-campaign update showing match progress, and final hours email emphasizing the deadline. Include a subject line for each."
At the end of the planning session, ask:
